The personal data we collect
When you contact us through our website form, by WhatsApp, phone, email or social media, we collect the information you give us — your name, email address, telephone number, the service you are interested in and the content of your message.
If you go on to become a client, we collect the further information we need to provide accountancy, tax, payroll and related services and to meet our legal obligations. This may include identity and contact details, date of birth and identity documents (for anti-money-laundering checks), National Insurance number and Unique Taxpayer Reference, and financial, tax, payroll and business records.
When you visit our website we also collect limited technical information such as your IP address and browser type (see “Cookies” below).
How and why we use your data
We use personal data to:
- respond to your enquiries and provide quotes;
- provide our accountancy, tax, payroll and related services and manage our relationship with you;
- meet our legal and regulatory obligations, including tax filing, statutory record-keeping and anti-money-laundering (AML) checks;
- send you service updates and marketing where you have agreed to receive them; and
- operate and secure our website, and establish or defend legal claims.
Our lawful bases for processing are: performance of a contract with you; compliance with a legal obligation (including AML and tax law); our legitimate interests in running and promoting our business; and your consent (for example, for marketing and non-essential cookies), which you can withdraw at any time.
Cookies and tracking
Our website uses cookies and similar technologies that are strictly necessary for it to function. It also loads Google Fonts and an embedded Google Map, which may transmit your IP address to Google. Non-essential technologies are only used with your consent, which you can manage or withdraw through your browser or our cookie settings. Blocking some cookies may affect how the site works.
Who we share your data with
We treat your data as confidential and never sell it. We share it only where necessary — with HM Revenue & Customs, Companies House and other authorities where required; with the software and IT providers who process data on our behalf (such as accounting, payroll, cloud-storage, email and website providers); with identity-verification/AML providers; and with our professional advisers. If you contact us via WhatsApp, your message is also processed by WhatsApp/Meta. We may share data where required by law or in connection with a sale of our business.
International transfers
We aim to keep personal data within the UK or European Economic Area. Where a provider processes data outside the UK, we ensure an appropriate safeguard recognised under the UK GDPR is in place (such as a UK adequacy decision or the International Data Transfer Agreement).
How long we keep your data
We keep personal data only for as long as necessary. In particular, we retain AML/identity records for 5 years after the end of our relationship (Money Laundering Regulations 2017), tax and accounting records for at least 6 years, and payroll records for at least 3 years, as required by law. Enquiry data from people who do not become clients is kept for a limited period and marketing data until you opt out.
How we keep your data secure
We use appropriate technical and organisational measures to protect personal data, including restricted access, password protection, reputable secure software, and confidentiality obligations on our staff. We have procedures to deal with any suspected data breach and will notify the ICO and affected individuals where required.
Your rights
Subject to certain conditions, you have the right to access your personal data; to have it corrected or erased; to restrict or object to its processing; to data portability; and to withdraw consent at any time. We do not use automated decision-making or profiling. To exercise any right, contact us using the details above; we will respond within one month.
Complaints
If you have any concern about how we handle your data, please contact us first. You also have the right to complain to the Information Commissioner’s Office (ICO), Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF — telephone 0303 123 1113, ico.org.uk.

We may update this policy from time to time. The current version will always be available on our website, with the date it was last updated shown above.
